2.2. Invoice Data: When you upload invoices or manually enter invoice information, we collect and process invoice data including but not limited to: invoice numbers, amounts, due dates, client names, client email addresses, and any other information contained in or extracted from your invoices.

2.3. Usage Data: We automatically collect information about how you interact with the Service, including IP addresses, browser types, device information, pages visited, features used, and timestamps of activities.

2.4. Communication Data: We collect and store copies of reminder emails sent through the Service, including email content, recipient addresses, delivery status, and engagement metrics (opens, clicks).

2.5. Cookies and Tracking Technologies: We use cookies, web beacons, and similar tracking technologies to collect information about your browsing activities and to remember your preferences.

2.6. Future Features - Email-Based Invoice Creation: For upcoming features that allow email-based invoice creation (such as BCC functionality), we will process incoming email metadata and attachments solely to create Chases within your account. We will not access, read, or store any other emails in your inbox beyond those explicitly forwarded or BCC'd to RemindFox for invoice processing purposes.

3. How We Use Your Information

3.1. Service Delivery: We use your information to provide, maintain, and improve the Service, including processing invoices, extracting data using AI, scheduling reminders, and sending email notifications to your clients.

3.2. Communication: We use your contact information to send you service-related notifications, updates, security alerts, and support messages. We may also send you marketing communications, which you can opt out of at any time.

3.3. Analytics and Improvement: We use usage data to analyze how users interact with the Service, identify trends, diagnose technical issues, and improve our features and user experience.

3.4. Legal Compliance: We may use your information to comply with legal obligations, enforce our Terms & Conditions, protect our rights and property, and respond to legal requests from authorities.

3.5. Fraud Prevention: We use your information to detect, prevent, and investigate fraudulent activity, security breaches, and other potentially prohibited or illegal activities.

4. Data Ownership & License

4.1. Your Data Ownership: You retain all ownership rights to your invoice data, client information, and other content you upload to the Service ("User Content"). RemindFox does not claim ownership of your User Content.

4.2. Limited License to RemindFox: By uploading User Content to the Service, you grant RemindFox a limited, non-exclusive, worldwide, royalty-free license to use, store, process, transmit, and display your User Content solely for the purpose of providing the Service to you. This license includes the right to:

  • Process your invoices using AI to extract invoice data
  • Store your invoice data in our secure databases
  • Send reminder emails to your clients on your behalf
  • Display your data in your dashboard and reports
  • Make backup copies for disaster recovery purposes

4.3. License Termination: This license terminates when you delete your User Content or close your account, except that RemindFox may retain copies as required by law or for legitimate business purposes (e.g., backup archives, legal compliance).

5. Third-Party Service Providers

5.1. Third-Party Processing: RemindFox uses third-party service providers to help deliver the Service. These providers have access to your information only to perform specific tasks on our behalf and are obligated to protect your information. Third-party services include:

  • Email Delivery: Postmark (for sending reminder emails to your clients)
  • Payment Processing: Stripe (for processing subscription payments)
  • AI Processing: OpenAI and other AI providers (for extracting invoice data)
  • Database Hosting: Supabase (for storing your data)
  • Application Hosting: Vercel (for hosting the Service)
  • Analytics: Analytics providers (for understanding Service usage)

5.2. Third-Party Terms Apply: Your use of the Service is also subject to the terms of service and privacy policies of these third-party providers. We encourage you to review their policies.

5.3. Data Transfers: Some of our third-party providers may be located outside your country. By using the Service, you consent to the transfer of your information to these providers, which may be in countries with different data protection laws than your own.

5.4. AI Training Prohibition: We do not permit our AI service providers (including OpenAI and other AI processors) to use your invoice data, client information, or any other User Content to train their machine learning models. Your sensitive business data is processed solely for the purpose of providing the Service to you and is not used to improve third-party AI systems.

6. Data Security

6.1. Security Measures: We implement industry-standard security measures to protect your information, including:

  • Encryption of data at rest using industry-standard encryption protocols

6.2. Security Disclaimer: WHILE WE USE INDUSTRY-STANDARD ENCRYPTION AND SECURITY MEASURES, NO METHOD OF TRANSMISSION OVER THE INTERNET OR ELECTRONIC STORAGE IS 100% SECURE. WE CANNOT GUARANTEE ABSOLUTE SECURITY OF YOUR INFORMATION. RemindFox is not liable for unauthorized access to your data that occurs despite our reasonable security measures and beyond our reasonable control.

6.3. Data Breaches: In the event of a data breach that affects your personal information, we will notify you and relevant authorities as required by applicable law.

6.4. Your Responsibility: You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You must notify us immediately of any unauthorized access or security breach.

7. Data Retention

7.1. Active Accounts: We retain your information for as long as your account is active or as needed to provide you with the Service.

7.2. Closed Accounts: After you close your account, we may retain certain information for a reasonable period to comply with legal obligations, resolve disputes, enforce our agreements, and for backup and disaster recovery purposes.
